- What we collect: your name, email address, phone number if you give it, and your message.
- Why we use it: only to read and reply to your message.
- Lawful basis: our legitimate interest in answering people who contact us.
- Who sees it: only the Mama2Mama team members who need to reply. We never sell or share it, and we will not add you to any mailing list.
- How long we keep it: we delete your message from our website systems automatically 12 months after we receive it. If your message is a complaint, it is kept under our Complaints and Grievance Policy instead.
Volunteer
Mama2Mama Baby Essentials (registered charity 1199777), 1A Pett Street, Woolwich, London SE18 5BH, is responsible for your information. Our Data Protection Lead is Zuzana Fratrikova, Founder and CEO.
- What we collect: your name, contact details, age group, availability and how you'd like to help, plus a parent or guardian's name and phone number if you are under 18.
- Why we use it: to get in touch about volunteering, arrange a friendly chat and induction, and plan sessions safely.
- Lawful basis: our legitimate interest in organising volunteers, and the steps you ask us to take before you start volunteering.
- Under 18s: we will also contact your parent or guardian. Under 16s must be accompanied to and from sessions by a parent or responsible adult, as our Volunteer Policy explains.
- What we don't ask for: we don't collect health or criminal record information on this form. If a role needs a DBS check, we will explain this separately before anything is requested.
- Who sees it: our CEO and Baby Bank Coordinator only.
- How long we keep it: we delete this sign up form from our website systems automatically 6 months after you send it. If you go on to volunteer with us, we keep a separate volunteer record under our Volunteer Policy, for up to 6 years after you stop volunteering.
Home collection

- What we collect: your name, contact details, collection address, preferred date, what you are donating and any access notes.
- Why we use it: only to arrange and carry out your collection.
- Lawful basis: our legitimate interest in collecting donations, and the steps you ask us to take to collect your items.
- Who sees it: our team and the volunteer or driver doing your collection.
- Payment: the £30 fee is paid through our payment provider, MyGivingHub, under its own privacy notice. We never see your card details. Like every charity, we keep a record of the payment in our accounts for as long as the law requires.
- How long we keep it: we delete your booking details from our website systems automatically at the end of your collection day.
Referrals

- Please tell the family you are referring them, what you will share with us and why, and check they are happy for you to do this.
- Share only what we need to prepare their support: contact details, the children's ages and sizes, what is needed, and how urgent it is. Please leave out medical, immigration or other sensitive details unless they are essential to the support.
- Send the completed form from your work email to info@mama2mama.org.uk. Please don't send referrals by WhatsApp, text message or personal email.
- How we use it: only to prepare and deliver support to the family, and, if ever needed, to keep a child or adult safe under our Safeguarding Policy. Never for marketing or fundraising.
- Who sees it: only authorised Mama2Mama staff. We share information with other professionals only when it is needed to keep someone safe and the law allows it.
- How long we keep it: We keep referral details for up to 3 years from our last contact with the family, as set out in our GDPR and Data Protection Policy, and then delete them securely.

Your rights
Your rights: you can ask to see, correct or delete your information, or object to how we use it, by emailing info@mama2mama.org.uk. We normally reply within one month. If a concern involves our CEO, you can contact our Chair of Trustees, Miroslava Zverbikova, at zverbikovam@yahoo.com. You can also complain to the Information Commissioner's Office at ico.org.uk.
